Guidance for Employers

What you need to know when further information is requested for a
pre-employment medical or health surveillance assessment

 

Sometimes, our doctors require additional information before confirming a candidate’s or employee’s suitability for the role. This is a normal part of both pre‑employment medical assessments and ongoing health surveillance.

Pre-Employment  Health Surveillance

Pre‑Employment Employers

(For candidates undergoing pre-employment medicals prior to employment being confirmed)

 

Why has further information been requested?

During a pre‑employment medical, KINNECT doctors may need more details to:

  • clarify past injuries, treatment plans, medications, or test results
  • understand the candidate’s health situation fully
  • ensure the job role is safe
  • confirm compliance with medical standards and legislation

These details are required for the assessing doctor to determine the candidate’s suitability for the proposed role.

 

Your role as the employer

For pre‑employment assessments

  • The candidate is responsible for organising any required further review appointments.
  • KINNECT communicates directly with the candidate regarding what is required and how to submit it.
  • The candidate submits the requested documentation directly to KINNECT.
  • You generally do not coordinate or pay for the further review appointments themselves.
  • Where additional medical information is provided, a fee applies to cover the administrative and clinical work involved, including preparation of the request, communication with relevant parties, and the doctor’s review and medical re‑determination of the candidate’s role suitability.

 

Legislative requirements

In some circumstances, further review or testing may be required to meet legislative or regulatory obligations. Where this applies, the employer may be responsible for coordinating and covering the cost of the required assessments.

In these situations, KINNECT can assist where possible with arranging appropriate testing, such as repeat spirometry, HRCT imaging, or Medical Review Officer (MRO) reviews.

 

How the process continues

Once the candidate provides the necessary information:

  • KINNECT compiles the new information with earlier results
  • Our doctor reviews the complete file
  • A role suitability determination is issued to you

Most assessments are finalised within 5 business days once documents are received.

 

If the candidate does not provide the information

Participation in the further‑information process is voluntary. If the candidate declines:

  • KINNECT will close the referral
  • You will be notified
  • No suitability for role outcome can be issued
  • Incomplete results will remain locked in Carelever and will not be available to view or download.

Health Surveillance Employers

(For employees undergoing ongoing monitoring or follow‑up testing)

A further health surveillance review is recommended when the examining doctor requires additional information before confirming an employee’s continued suitability for the role.

 

What has already occurred?

When a review is needed:

  • The employee has been notified directly and provided instructions
  • They are advised to discuss the next steps with you
  • You receive a high‑level notification that a review is required

 

Your responsibilities as the employer

You are responsible for:

  • discussing review requirements with the employee
  • agreeing how and when the review should be completed
  • deciding whether you want KINNECT to coordinate eligible reviews
  • submitting requests through Carelever Monitor where applicable
  • documenting decisions if a review does not proceed

 

Reviews that KINNECT may coordinate (if you request it)

KINNECT can coordinate only while the employee is in the investigatory/monitoring stage, including:

  • Audiometry
  • Audiologist review
  • Spirometry (standard and pre/post bronchodilator)
  • Laboratory spirometry
  • Complex lung function testing
  • Respiratory specialist (investigatory only)
  • High-Resolution Computed Tomography (HRCT) Scan
  • Low-Dose Computed Tomography (LDCT) Scan
  • Hazardous substance urine and blood testing (lead, isocyanate etc)

➡ Coordination only occurs when you submit a request through Carelever Monitor.

 

Reviews KINNECT will not coordinate

KINNECT will not coordinate reviews where:

  • the condition is already diagnosed and under active treatment
  • ongoing management sits with the employee’s treating doctor
  • the review involves GP, Optometrist or non‑respiratory/non‑hearing specialists (e.g., cardiologist, endocrinologist etc).

In these cases:

  • the employee must continue with their treating doctor
  • you and the employee must agree on workplace management and payment responsibilities

 

No automatic booking (except for rare exceptions)

Reviews are not automatically arranged.
System indicators do not trigger bookings — a formal submission via Carelever Monitor is required.

Limited exceptions exist only when:

  • pre‑agreed processes are in place, or
  • clinically urgent situations arise (e.g., significantly elevated hazardous substance blood or urine results)

 

Timing requirements

Correct timing of requests is essential:

  • Submit requests only when the review is approaching its due date
  • Do not submit requests 6–9 months early
  • Specialist reviews: submit around 3-4 months prior due to specialist availability
  • Standard surveillance reviews can be requested closer to the due date

Requesting reviews too early may undermine clinical intent — doctors often require a set period of time to pass so that results remain meaningful.

 

If a review does not proceed

If the review is delayed or not completed:

  • The employee has still been notified of the recommendation
  • Medical follow‑up remains your responsibility whilst the worker is employed by you
  • You should retain documentation showing appropriate decision‑making

 

Carelever Monitor Access

If you need to submit a review request but cannot access Carelever Monitor:

  • Call 1300 546 632 and ask to speak with our Customer Team
  • New clients or users without accounts can call the same number to arrange setup.

Carelever Monitor is how review requests are usually submitted. However, if access is still being arranged, let us know — we can help where needed so the worker’s review is not delayed.
